The client is a prominent non-profit research institute in North America. Known for its groundbreaking innovations in collaboration with government agencies, commercial enterprises, and private foundations, the institute has played a key role in shaping the future of technology. Their notable contributions include the development of Siri, the computer mouse, robotic surgery advancements, satellite technologies, and industrial polymers. Their mission is centered on commercializing advanced research and development to address modern challenges.

CHALLENGES

The client faced several critical operational and technical hurdles, hindering its ability to manage HR functions efficiently:

  • Operational Inefficiencies: Limited position profile management and manual review processes for goals and performance created significant bottlenecks.
  • Technological Limitations: A reliance on disparate home-grown BI tools resulted in inconsistent reporting and analytics capabilities.
  • Data Management Issues: Paper-based entries led to duplicates and data integrity challenges, further complicating HR operations.
  • Compensation Management: Outsourced compensation management added layers of complexity and reduced oversight.

RESULTS & IMPACT

Drivestream partnered with the client to implement Oracle Cloud HCM and Payroll, migrating them seamlessly from their legacy PeopleSoft system. The tailored solution included:

  • Integration of Single Sign-On (SSO) across all HCM applications to enhance user accessibility.
  • Deployment of Oracle HCM modules, including Core HR, Benefits, Payroll, and Talent Management.
  • Consolidation of fragmented processes into a unified system, such as integrating the FOCAL process into a single application.
  • Development and implementation of 26 distinct integrations to interface with multiple third-party systems.
    Streamlining of talent, performance, and goals management with enhanced manager reporting and analytics.
  • Custom payroll and taxation rule configurations accommodating compliance across 40 states.
The transformation resulted in significant operational efficiencies and measurable outcomes. The migration to Oracle Cloud HCM not only addressed the client’s existing challenges but also empowered their HR functions with greater transparency, accuracy, and control.

Through the implementation, the institute achieved a 98% accuracy rate in benefits enrollments, completing 43,000 enrollments seamlessly. The migration of over 200,000 payroll balances was achieved with a 99% match against the legacy system, while over 5,000 personnel records were transferred with a 99.9% accuracy rate. These enhancements resulted in a substantial reduction in HR administrative overhead and streamlined operations across the board. Additionally, the unified system eliminated duplicate processes, improved data integrity, and provided actionable insights through advanced analytics.
