The client is a prominent non-profit human services organization in the United States. They provide a broad spectrum of services including social support for children and families, mental health care, foster care, education, and developmental disability programs. With diverse funding streams and a mission-driven focus, they are critical in delivering support to underserved communities.

CHALLENGES

The organization faced significant operational and technical hurdles as they sought to modernize their systems:

  • Operational Inefficiencies: Managing diverse funding streams led to complex cost allocation processes, creating administrative overhead.

RESULTS & IMPACT

Drivestream implemented a comprehensive Oracle Cloud solution to replace the client’s outdated EBS system. The project included Oracle HCM Cloud and ERP Cloud to streamline HR, payroll, and financial processes. Specific components implemented were:

  • Oracle HCM Cloud: Core HR, Benefits, Absence Management, and Payroll Cloud to manage the complex employee structures and assignments.
  • Recruiting: Optimized the recruitment process to attract and onboard unique, hard-to-find talent.
  • Oracle ERP Cloud: Addressed financial processes, enabling seamless cost allocation and resource tracking.
Key strategies included a meticulous data conversion process, mapping dissimilar EBS data structures to the Oracle Cloud environment. Drivestream also executed a mid-year balance conversion of over 180,000 records to ensure continuity and data integrity. Collaboration between the client, Drivestream, and Oracle was central to delivering this complex project successfully.

The implementation delivered significant benefits, empowering the organization to streamline operations and enhance efficiency. By successfully migrating to Oracle HCM and ERP Cloud, the client overcame technical and operational challenges while reducing their IT cost burden. The new system provided an integrated, scalable platform that improved recruitment capabilities, enabling the organization to attract hard-to-find talent critical to their programs.

The payroll complexities were resolved through Oracle Payroll Cloud, which effectively managed employees concurrently assigned to multiple employers. This significantly reduced payroll errors and administrative burden, creating more time for the organization to focus on its core mission of serving the community.

Ultimately, the project was completed on-time and on-budget, achieving measurable improvements in process efficiency, recruitment outcomes, and cost management.
